Oxford Films is committed to protecting your privacy and keeping your personal data safe and secure by handling it in accordance with our legal obligations and company policies. This page explains our privacy policy and how your personal information may be used.

WHAT IS YOUR PERSONAL INFORMATION?

This means any information which is personally identifiable to you – this includes your name, your address, contact details (telephone numbers and email addresses), gender, financial information (in the event we are processing any payments to you) and/or date of birth. We refer to this as “personal information”.

WHY and HOW ARE WE COLLECTING THIS INFORMATION?

Oxford Films collects Personal Information in various ways and forms for the purpose of business activities (the production and distribution of television productions).

In the event we make contact with you in relation to taking part in one of our programmes we will hold some of your “personal information” as part of this process this is in order to assess your suitability for contribution to our programmes and in order to be able to keep in touch with you.

You may also have direct interactions and provide data if you’re applying for a job with us, wish to give us information about any services you provide or request information about one of our productions, respond to an email or phone call from us.

We may receive personal data about you from various third parties and public sources including but not limited to Companies House, HM Revenue & Customs, Facebook, Talent Manager, Instagram, LinkedIn or from third party references.

WHO HAS ACCESS TO THIS INFORMATION?

Your Personal Information will only be handled by contracted members of staff (full time or contract staff) of Oxford Films and it will only be shared when absolutely necessary with any third party directly involved in the workings of Oxford Films such as, financial institutions, service providers acting as processors who provide payroll, IT and system administration services, lawyers, bankers, auditors and insurers who provide consultancy, banking, legal, insurance and accounting services, HM Revenue & Customs, regulators and other authorities.

We will share your information with official bodies in the event this is required by law in the investigation of any crime.

If you have been engaged as a contributor, as a freelancer or as an employee, as part of delivering productions to broadcasters some of your Personal Information (Name, Age, Gender, Disability Information) may be shared with them for the purposes of monitoring. If you would prefer we do not disclose this information please make contact with your representative at Oxford Films who will note this.

We may seek to acquire other businesses or merge with them. If a change happens to our business, then the new owners may use your personal data in the same way as set out in this privacy policy.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law.

HOW DO WE KEEP YOUR INFORMATION and FOR HOW LONG?

Oxford Films are committed to keeping your personal information secure. We have put in place appropriate security measures to prevent a data breach in accordance with the law. We will only keep personal information for as long as it is required for business purposes and routinely review our policies on storing and destroying information. Any personal information – both physical and digital – will be securely destroyed when it is no longer required.
